Instruction to Superintendent

  • The Chief Superintendent is fully responsible for the smooth conduct of the theory examinations. He/She has to take all pre-cautionary measures to prevent any kind of malpractice by the candidates and keep strict vigil during the examination.
  • The Invigilators shall work under the direct control of the Chief Superintendent. They should exercise proper control and extend their fullest support to the instructions of the Chief Superintendent.
  • The Chief Superintendent appointed for the Examination is requested to announce in the examination hall on every day of the examination that the candidates should check their register number on the space provided in the front sheet. They should not write their register number elsewhere either in the main answer book. Further the candidates have to be     instructed to write the page number of the answers provided in the column I for the candidate, in the front sheet.
  • The Chief Superintendent should give instructions to the Invigilators to verify the correctness of the register numbers on the answer script of   the candidates with the galley and to check whether they have written the page number of the answers correctly in the column I before receiving the answer scripts from the candidates.
  • The Chief Superintendent should verify the Part and   Paper   of each specialty of the candidates appearing with reference to the galley issued.
  • The candidate and the Chief Superintendent/Invigilator should put their signature in the space provided. No entry should be made in the rectangular boxes “UNIVERSITY USE ONLY”. No other portion in the bar coded sheets attached to the main answer book should be damaged or detached.
  • While sending answer scripts to the University, the year, month and date of the examination should be noted at the left side top corner of the cloth cover for easy identification.
  • The Secrecy & confidentiality for the conduct of the examination shall lie with the Chief Superintendent. 

While decoding/downloading the question paper, the Chief Superintendent should make sure that no outsider/ other unconnected   staff members/concerned subject teaching staff is present at the examination hall.

The Chief Superintendent is responsible to dispatch the following documents on the same day of examination through speed post.

      •  Written Answer Scripts
      •  Unused Answer Sheets
      •  Unused Spare Sheets
      •  Unused Covers
      •  Attendance Sheet
      •  Absentees Statement
      • Failure to dispatch the above materials on the day itself will entail action against the Chief Superintendent.

 

  1. The Chief Superintendent should enter absentee’s details on the same day through online.
  2. The Chief Superintendent should not entertain any outsider other than the vigilance squad appointed for the specific purpose.
  3. No waterman is permitted to supply water to the students. The water pot should be kept inside at one corner in the examination hall and the students can be permitted to drink water from the water pot in the presence of the Chief Superintendent/Invigilator.
  4. The CCTV camera should be fixed and full session of the examination should be recorded. The C.D. of the recordings   should be sent to this University after completing the full session of the examination, so as to use it by the University as and when it is needed.
  5. Any untoward incident like copying noticed by the Chief Superintendent should be reported to the Controller of Examinations of this University with facts and a detailed report must be submitted.
  6. The Chief Superintendent should make sure that the correct answer sheet for particular subject is given to the candidates. The subject code in question paper and answer sheet should be the same. 
  1. The Chief Superintendent is to check whether the first tabular column is filled by the candidate with the page number of the written answer.
  2. The Chief Superintendent should instruct the following conditions to the students.
    1. Candidates should leave the electronic devices such as calculators, digital diary, mobile phone, pager of any other communication devices before entering into the examination hall.
    2. Candidates to produce the hall ticket on demand by the Invigilator/ Observer/Squad member. The invigilator should see whether anything written in the Hall Ticket, if so, the same should be informed to this University.
    3. Candidates to handover the answer booklets before leaving the examination hall.
    4. No candidates should enter the examination hall after the expiry of thirty minutes from the commencement of examination and leave the examination hall before the expiry of sixty minutes from the commencement of the examination.
    5. Candidates should not wear overcoat and full sleeve dresses.
    6. Girls should not leave loose hair, should tie up their hair.
    7. Wooden scales should not be allowed.
    8. All the candidates (girls & boys) should not wear shoes and socks.

 

  1. The Muslim students are permitted to wear Purdah/Burkah during examinations after being checked by Metal Detectors.
  2. The Chief Superintendent has to ensure whether the Metal detector and mobile jammers are in working condition.
  3. The Chief Superintendent and the Invigilators must verify the correctness of the register numbers on the printed answer script of the candidates at the time of Examination.
  4. Last day of Examination

Failure to despatch the above materials in the above mentioned day will entail action against the Chief Superintendent.

  1.  SPARE SHEETS
  • Only Printed answer Booklets should be used for the examinations.
  • If spare sheets are given to the candidates at the time of Examination, prior permission has to be obtained from Deputy Controller/ Controller of Examination On the   day   of   the   Examination. An Email / Fax No. 044-22354577 has to be sent with the signature of Chief superintendent to concerned DCOE with proper justification for usage of spare sheets on the examination day itself, followed by hard copy in separate cover addressed to Deputy Controller of Examinations immediately and not along with the answer bundles. Failed to do so will be viewed seriously.

 

  1.   Additional Instruction to the Chief Superintendents

For the Subjects with Section-A, Section-B, the Chief Superintendent should instruct the

Candidates to write the answers for Section-A in Section-A Answer Booklets only. Similarly, the answers for Section-B in Section-B Answer Booklets only. The Answers written in the wrong answer booklet, other than the one pertaining to the section concerned shall not be valued.

 

 

 

 

Instructions to Candidates

 The instructions should be displayed at the entrance of the Examination Hall.

1.   Candidates should bring the Hall ticket for admission to the examination.

2. The Hall ticket is issued as per the regulations and instructions issued by the University from time to time. If the candidate does not comply with the above requirements, the examination(s) taken by the candidate will be treated as cancelled.

3. The candidates should appear in the Centre prescribed by the University for their theory and practical examination.

4. Any discrepancy with regard to the spelling of the name or the subject for which the candidates is permitted to the examination should immediately be brought to the notice of the Controller of Examinations of this University.

5. Candidate should satisfy themselves, before answering that they have received the correct question paper.

6. Candidates are instructed not to leave any pages blank in the Answer scripts. For Example, if the maximum number of pages allotted for a question in the question paper is 10 pages and the candidate completes the answer in 8 pages, the candidate should write the answer to the next question continuously without leaving any space or pages blank.

7. Candidate should be present at the respective centers for clinical, practical and oral examinations half an hour before the commencement of the examinations.

8. Answers must be written legibly in blue/black ink or ball point pen.

9. Candidates should write their Register No. in the specified column only in the Main Answer Book. Candidates are prohibited from writing their Register No. in any other place in the Main Answer Book.

10. (i). Writing Wrong Register No. in the Answer book will entail summary rejection of the Answer book.

(ii). If candidate puts any special mark or writes anything will entail summary rejection of Answer book.

11. Candidates are prohibited from writing their names or any type or form of symbols at any place in the main answer book or additional answer sheets.

 12. Separate answer books should be used for each section wherever it is specified. Answer written in the wrong answer book (i.e.) other than the one pertaining the section concerned shall not be valued.

13. Answer scripts of the candidates violating instructions (8), (9) and (10) shall not be valued.

14. The electronic devices such as calculators, Digital Diary, Mobile phone, pager or any other communication devices are strictly prohibited in the Examination hall, possession of the said devices by the candidate shall entail cancellation of the examination for that candidate.

15. All the Text books, Notes and other informative materials should be left outside the examination hall.

16. Candidates are not permitted to enter the theory examination Hall with their aprons or over coats.

17. Candidates are permitted to enter the Practical/Clinical examination Hall with their aprons or over coats.

18. Candidates found guilty of using unfair means of any nature shall be liable for disciplinary action.

19. Candidates should produce the hall ticket on demand by the Invigilator/Chief Superintendent/Observer/Squad member.

20. Candidates will have to handover the Answer books to the Invigilator/Chief Superintendent before leaving the examination hall.

21. Candidates should be seated half-an-hour before the examination and strictly not allowed after that time.

22. The candidates shall not be permitted to leave the examination hall, before the expiry of sixty minutes from the commencement of the examination. Candidates allowed to leave the examination hall will not be allowed to re-enter the hall.

23. Candidates should ascertain the scheme for the practical and oral examinations in their respective institutions.

 

 

 

Exam Cell Malpractice

  • It has been brought to the notice of this University that during February 2012, Final MBBS Part-II theory examinations held at the one of the Medical College in Chennai, some students had indulged in malpractice using Bluetooth, Earphone & Microphones stitched inside the collar connected to the Mobile phones concealed in the undergarments. Mobile devices of other medical students staying in the hostel have been used for obtaining and writing the answers.
  • Hence, all the Dean and Principals of all affiliated colleges of this University are directed to have two Cell/Mobile phone Jammers fixed inside the examination hall (one in front and one behind) during the Postgraduate examinations to be held in April 2012. The students must be scanned with metal detectors (as done in airports) before entering the examination hall. The authorities are requested to buy the appropriate equipment to be placed in the examination hall and to screen the candidates before entering the Hall and ensure that no electronic devices are taken to examination hall /premises / campus. The entire examination hall must be under the Surveillance of CCTV.
  • It is also brought to our notice that students are leaving the examination hall within half an hour of entering the hall under the pretext of going to toilet, writing the question and handing it over the accomplice or throwing it out of the windows to their friends who then take it to the kingpin who dictates the answers via., cellphone and Bluetooth accessories. The Chief Superintendent and Invigilators are instructed not to allow the candidates (Male/Female) wearing full sleeves and chewing gum in the examination hall. The Examination hall Superintendent and Invigilators are requested to be more vigilant in detecting these malpractices by taking appropriate measures.
  • Any deviation in this regard will be viewed seriously and the examination Centre will be cancelled.
